A2Z Policies & Procedures
Wedding Receptions Thank you for considering A2Z Occasions to host your special day. Our beautiful facility is over 6,500 sq. ft. We are capable of seating 550 guests with our standard 60 inch round tables or close to a 1,000 with rectangular tables. Our round tables seat up to 8 guests comfortably. We have three sparkling chandeliers and sconce lighting to create the perfect ambiance.
We have many amenities available for rent with our facility as well. We have a microphone system with available podium, serpentine tables to create an elegant looking buffet, 14-inch hurricanes with non drip candles for centerpieces, a 100 inch screen and projector for those perfect slide shows.
Listed below are our policies and procedures regarding expenses, Deposits, cancellations, cleaning, set-up, catering and bar options.
A2Z Occasions Rental Cost Our beautiful facility rents for $1,500.00 without the use of our catering or $1,000.00 with the use of our catering.
We require a $250.00 damage deposit that is returned to the rental party within 14 days after the conclusion of the event without any damages.
To hold a function date there is a $500.00 deposit. This deposit is subject to our cancellation procedures listed below.
Our Cancellation Policies Our cancellation policies are as follows: A2Z Occasions will assess a cancellation charge on all functions confirmed and then cancelled. (If a function is cancelled 365 days or more from the scheduled function date, there is a 100% refund) (If a function is cancelled 180 or more days in advance of the scheduled function date, 25% of the deposit will be refunded) (If a function is cancelled less than 180 days of the scheduled function date, there is no refund) (A function may be rescheduled if and only if both the renting party and A2Z Occasions agree upon a new available date.)
Payments Cash, check or money order shall make all payments. Credit cards are accepted with a 5% service fee.
All functions are required to be paid in full no less than 10 days prior to the function. Failure to pay will result in cancellation of the function and loss of the deposit. A2Z Occasions will accept one payment. If you are splitting the function with other guests it is the rental parties responsibility to collect the appropriate funds.
In some cases there will be a remaining bar tab due at the conclusion of the function. In these instances payment is due in full in one of the before mentioned methods immediately following the conclusion of the function.
Collection Fees Any unpaid balances will be subject to a 21% annual interest charge (1.75%) per month until the balance is paid in full. If the services of an attorney or collection agency are necessary, the renting party will be responsible for all cost incurred including attorney fees, collection cost, and court cost.
Taxes Applicable tax will be applied to all food and beverages purchased from A2Z Occasions.
Smoking A2Z Occasions is within Greensburg City Limits and thus is a non-smoking facility. UNDER NO CIRCUMSTANCES is smoking permitted. All smoking is to be done outside and disposed of properly in the cigarette containers provided by A2Z Occasions. Any Cigarette wrappers or butts not disposed of properly will result in the rental party forfeiting the security deposit.
Damages/Loss of Personal Property A2Z Occasions is not responsible for any personal property and/or outside vendor’s equipment brought on to the premises.
A2Z Occasions shall not be held responsible for damage or loss of articles or merchandise left on the premises prior to, during or following the function and will not assume responsibility for the condition of personal items rented or supplied by the host/ or host group.
All equipment, floors, walls, doors, bathroom items, tables, chairs and decorations provided by A2Z Occasions will be inspected prior to the scheduled function date. All equipment, floors, walls, doors, bathroom items, tables, chairs and decorations provided by A2Z Occasions will be re-inspected following the scheduled function date. Any damages above the deposit amount will be the responsibility of the host or host group and will be subject to our collection policy. Our cost for anything damaged is at replacement cost.
Time Perimeters The rental party will have access to the hall from the day before the scheduled function date at 8:00 a.m. through 12:00 p.m. of the function date. Example: If your reception is on a Saturday you will have access to the hall from Friday at 8:00 a.m. through Saturday at 12:00 p.m. Any time after 12:00 p.m. the day of the function you will be billed at the rate of $100.00 per hour.
Decorations Early access to A2Z Occasions for decorations can be arranged however; A2Z Occasions management must approve it. All decorations are to be removed from the facility immediately following the scheduled function unless alternate arrangements are made and approved prior to the scheduled function date. Any decorations left at the facility will be disposed of and a subsequent charge will be administered to the security deposit.
All decorations are subject to the approval of A2Z Occasions management. It is the responsibility of the rental party to relate this information to the wedding planner/decorating party.
Tables All tables are required to be covered. We can provide you with round table linens for $10.00 per table or plastic for $5.00 per table.
Walls Our walls are carpeted to allow you to use our small finishing nails for decorating. Tacks, Tape and Staples are not permitted to be used. Rice, confetti, glitter, bubbles, and birdseed are permitted outside however; the host or host group must clean them up.
Candles Candles are permitted for use. We would prefer non-drip candles are used. If any wax is spilled on our tablecloths then the host or host party is responsible for the replacement of them.
BarAll Alcohol must be purchased through A2Z Occasions. Absolutely no alcohol may be brought onto the facility grounds. Failure to comply with this may result in immediate termination of scheduled function with no return.
A2Z Occasions will supply one bartender for the scheduled function. Additional Bartenders may be supplied and billed at the rate of $15.00 per hour.
Outside Catering Our kitchen is a WARMING kitchen. Use of our ovens is permitted for the sole purpose of warming food. We do not allow cooking to be done on premise. Failure to comply will result in forfeit of security deposit by the rental party.
If you are having a function catered at A2Z Occasions it is your responsibility to provide tables for the buffet, linens and skirts for the banquet table, chafing dishes and insert pans. We will provide trash receptacles’ and their appropriate bags. We have a three-compartment sink if you wish to do some washing following your function. All other ancillary items are the responsibility of the outside caterer.
Arrangements may be made to bring items in early and be held until the appropriate time but these must be made ahead of time through management. We will have no responsibility for items brought in prior to, during, or following your function.
The kitchen is to be left in its original state. All trash is to be disposed of properly, the sinks are to be cleaned, and the ovens are to be wiped down. The host or host group bears the responsibilities if anything is damaged. Failure to clean appropriately will result in the rental party forfeiting the security deposit.
A2Z Occasions will be happy to meet with your caterers in advance to go over any questions or show the facilities ahead of time to the caterers.
